Monitoring Your RSVP Responses
Keeping track of RSVPs is crucial for planning. Here's how to stay on top of your guest count.
RSVP Dashboard Overview
Your Dashboard > Guests page shows at-a-glance stats:
- Total Invited: Number of guests who received invitations
- Attending: Confirmed "yes" responses
- Declined: Confirmed "no" responses
- Pending: No response yet
- Response Rate: Percentage who have responded
Understanding Response Statuses
Attending
- Guest confirmed they're coming
- Their meal preferences are recorded
- Count them in your final numbers
Declined
- Guest confirmed they cannot attend
- No further action needed
- Consider sending a "wish you could be there" note
Pending
- Invitation sent, no response yet
- May need a reminder
- Don't count in final numbers yet
Maybe/Tentative
- Guest is uncertain
- Follow up closer to the date
- Plan for them, but have a backup
Viewing Detailed Responses
Click any guest to see their full response:
- Attendance status
- Number in their party
- Meal selections for each person
- Dietary restrictions
- Answers to custom questions
- When they responded
- Any notes they added
Sending Reminders
For guests who haven't responded:
Automatic Reminders:
- Go to Settings > RSVP > Reminders
- Enable automatic reminders
- Set timing (e.g., 2 weeks and 3 days before deadline)
- Customize the reminder message
Manual Reminders:
- Filter your list to show "Pending" only
- Select the guests you want to remind
- Click Send Reminder
- Choose email or SMS (if phone numbers are available)
After the Deadline
When your RSVP deadline passes:
- Review pending responses — Reach out personally to must-have guests
- Finalize numbers — Give caterer your confirmed count
- Make adjustments — Reassign tables, update seating chart
- Consider B-list — If you have declines, invite B-list guests
Exporting RSVP Data
Share your guest information with vendors:
For your caterer:
- Go to Guests > Export
- Select "Attending guests only"
- Include meal preferences column
- Export as CSV or PDF
For seating chart:
- Export attending guests with group info
- Include any seating notes
- Use for table assignments
For place cards:
- Export first and last names
- Include meal choice codes
- Share with stationer or DIY
Common Questions
What if someone RSVPs after the deadline?
Late responses are still recorded. You'll receive a notification. Accommodate if possible, or reach out to explain constraints.
What if the guest count changes?
Guests can update their RSVP until the deadline. You're notified of any changes. After the deadline, they need to contact you directly.
What about non-responders?
After sending 2-3 reminders, it's appropriate to call or text directly. Some people miss emails or forget to respond.
Pro Tip: Check your RSVP dashboard daily as the deadline approaches. Personal follow-up with close friends and family gets better results than automated reminders!
